Any organizations wanting to submit an activity project for the Olympic Park Esplanade Sun Life Financial must fill the proper form and hand it in at least 120 days before the day of the event, duly signed and accompanied by all the relevant documents about the project.

Eligible projects:

  • a non profit organization or association;
  • a company with single owner;
  • a partnership;
  • a co-operative or a corporation created under federal or provincial laws

…having begun their business activities for at least two years at the time of the submission.

By making a request, the organization must show:

  • the ability to carry out the project in the long term
  • its understanding of sustainable development principles;
  • its ability to generate independent income related to the project suggested (obtain a balanced budget);
  • its ability to carry out a marketing campaign to effectively promote the project;
  • healthy financial management;

By making a request for an activity on the Olympic Park Esplanade Sun Life Financial, the organization has to get civil responsibility insurance which covers the organization and the Olympic Park throughout the activity.

The organization must also provide management with both quantitative (financial statements, attendance records, etc) and qualitative (approach of the activity objectives, press review, long term of the activity) reports within 120 days following the event at the Olympic Park. In the event that the organization cannot supply the required management report, the Olympic Park will be able to demand a partial or total refund of its investment in the project.

The requests are analyzed by the programming committee. The adopted projects will be subject for approval by the proper authorities. Approximately 12 weeks is needed between the application and the release of the decision to the organizations.

The members of the Olympic Park programming committee will evaluate the projects according to the following criteria:

  • ability of the organization and the project to enrich the Esplanade Sun Life Financial programming in a distinct way and support the national and international positioning of the Olympic Park;
  • the harmony of the project with the three main branches of Esplanade Sun Life Financial programming – culture, sport and biodiversity;
  • ability of the project to unite the realities of the surrounding community with those of the Olympic Park;
  • the innovative character and structure of the project;
  • ability of the organization to carry out its project, in particular, technical and financial plans;
  • communication strategy to ensure project promotion;
  • the ability of the project to attract a broad audience.

The financial support granted for a project by the Olympic Park cannot exceed 90% of the total expenses connected to the project. A first payment, accounting for 50% of the contribution, is payable on the date of the contract signature, insofar as the organization shows that all project financing is secure.

An organization can submit only one project per year.

When submitting a request for funding, organizations must provide the following documents:

  • filled and signed submission form;
  • the detailed budget of the project;
  • financial statements of the latest fiscal year;
  • the organization’s management chart, with the precise details on shareholders;
  • the Administration Council Resolution authorizing the application and the election of a person responsible to sign any commitment involved in this request;
  • incorporation documents (letters patent) of the organization;
  • promotional documents of the organization’s former activities.
  • the Québec enterprise number (NEQ) as well as the certificate from the ministère du Revenu du Québec.

PLEASE avoid bulky files. Any files that do not respect the instructions stated in this guide will not be considered.
